Keep a 2-Minute Daily "Brain Dump" Note

The hardest part of writing any recap is reconstructing what actually happened. The fix is shockingly simple: spend 2 minutes at the end of each workday jotting down 3–5 bullet points of what you did.

Don't write prose. Don't edit. Just facts:

- Finished proposal for Acme, sent for review - Call with Sarah — she wants a revised timeline by Tuesday - Fixed the checkout bug that was blocking orders - Spent 1hr fighting with the new email tool (still not resolved) - Invoiced Martinez project, $4,200

That's it. Four days of this gives you enough raw material to build a real weekly update in under a minute of reading.

Where to keep it: Anywhere you'll actually use — Notes app, a Google Doc, a Notion page, even a text file. The format doesn't matter. Consistency does.

Feed Your Notes to AI With a 20-Word Prompt

Once you have your daily notes, open ChatGPT (or any AI tool you use) and paste them in with this prompt:

Paste this prompt + your notes:Here are my rough notes from this week. Turn them into a clear weekly business update. Keep it under 300 words. Use plain English — no corporate-speak. Group by: What got done, What's in progress, What needs attention. Tone should be direct and honest. [paste your notes here]

That's the whole thing. The AI will organize your bullet points into a structured update, fill in minor transitions, and surface the important items without burying them.

You'll spend about 2 minutes reviewing and tweaking the output. The final report will read better than anything you'd have written from scratch in 45 minutes.

Add One "Metric" Line to Every Report

The difference between a forgettable recap and a useful one is usually one thing: numbers. Revenue this week vs. last week. New customers. Proposals sent. Tasks completed. Whatever matters in your business.

At the end of your daily notes, add one line on Fridays:

NUMBERS: 3 proposals sent, 1 closed ($6k), 47 support tickets resolved, 12 new signups

Tell the AI to lead with those numbers:

Add to your prompt:Start the report with a one-line metrics summary using the NUMBERS I've included.

Now your weekly update opens with real data, which means people actually read the first sentence — and usually the rest. It also means you have a record of your business performance without building a spreadsheet.

Compound effect: After 12 weeks of doing this, you have a searchable record of what you built, what slowed you down, and what worked. Most business owners don't have this.
